How we build the n8n flows behind an AI agent

We’re going to show you the kitchen. Behind every agent that answers calls there is an n8n node board where it’s decided what happens to each piece of collected data. This is, step by step and with the apron on, the setup we repeat almost every week.

The short answer: yes, it’s possible. n8n has a public API and an AI agent can connect to it today so your calls and WhatsApp conversations are handled and recorded without manual work. At Veltim we design and implement this integration: the first call is free and the quote is fixed. The rest of the article explains how.

n8n is an open-source visual automation canvas: you drag nodes, link them with arrows, and each arrow is data traveling from one app to another. It can be hosted on your own server, giving you full sovereignty over the information. It’s the component we at Veltim work with every day: our workshop, literally.

What the n8n API allows

Every flow starts with a trigger — a webhook that listens at its own endpoint — and ends wherever you choose: the generic HTTP node talks to any public API, and the platform itself exposes a REST API to create, activate and version flows programmatically. The collection of prebuilt nodes far exceeds the needs of an SME.

That the API is public and documented matters more than it seems: it means the integration doesn’t depend on hacks or opaque connectors, but on an official contract maintained by the platform itself. The complete reference is in the n8n developer documentation.

The steps, one by one

The typical setup: a webhook node that listens for the end of each call; a decision node that separates appointment, inquiry or emergency; one branch that writes to the CRM; another branch that books the slot in the calendar; another branch that notifies the team via the internal channel. Fifteen nodes, half a screen, and a whole chain of manual tasks turned into a diagram anyone on the team can read. If tomorrow you change CRM, you replace one node and the rest doesn’t notice.

The principle is always the same: the AI agent handles the conversation and n8n just learns about it. No writing on paper to pass along later, no leads that get lost between the phone and the CRM.

This integration is most effective for SMEs that use three or more tools which are still synced manually, copying and pasting.

What you should know beforehand

So much freedom has its trap: a poorly designed board automates disorder at high speed. That’s why we draw the flow on paper before opening the editor: what comes in, what decides, what writes and who supervises. That preliminary sketch is half the craft, and it’s included in the quote.

To be clear: none of these points prevents the integration. They are design decisions we resolve before connecting anything, and that’s why the quote we give is fixed: the tool’s limits are already accounted for. The rule is design first and connect later: which records the agent creates, which it updates, and what always remains in the team’s hands.

Frequently asked questions

Can n8n be connected to my CRM even if it doesn’t have an official connector?

Almost always yes: if your tool has a public API, n8n connects via its generic HTTP node. This is precisely where n8n shines compared to more closed alternatives.

Is n8n free?

There is an open-source version you can host yourself without a license cost, and a paid cloud version. For most SMEs we set up the option that best fits cost, maintenance and data control, and we explain why.

Do I have to change tools to work with Veltim?

No. The integration is built on what you already use: the advantage of tools with a public API like n8n is precisely that they don’t force any migration.

Who does this integration and how much does it cost?

It’s designed and implemented by Veltim, an AI automation agency from Madrid that works remotely across Spain. The price depends on your volume and what needs connecting: in a free call we review your n8n account and give you a fixed quote with concrete timelines.

n8n is a registered trademark of its owner. Veltim is not affiliated with nor sponsored by the brand: this article describes a technical integration via its public API.

Do you use n8n and want your calls and WhatsApp messages to be recorded automatically? Tell us about your case and we’ll review it on your real account. You have the full catalog of tools we connect at integrations, and you can also see how our voice agents and chatbots work or read client cases.

In short

We showed the typical n8n setup behind an AI agent: a public, documented API enables direct integrations; flows are designed on paper first; n8n handles the automation visually and can connect to most tools via HTTP; Veltim designs and implements the integration with a fixed quote and an initial free review.
